Here are some of our general policies (terms and conditions) important to know when attending our classes at Shotokan Fitness Karate School.

Please read this carefully. 

If you don't agree to the information, then you should not join our classes. 

If you do,  welcome to our dojos. 


Booking!

Our kids' classes run on a termly basis. Currently the term fees are based on 2 hours per week at £9.60 per hour.

Term fee must be paid up front on the first lesson the student attends. If you start the term late or leave early - you still be changed for the full term.

(2)  In case you have not paid the fee on the first lesson, and you stop attending for the term - on your return you must pay for the term you own in full, before you're allowed back training.


(3)  The maximum length of the term is 8 weeks. Students may attend classes for more than 2 hours per week at no extra cost (subject to availability). 

 

For adults classes!

Our adult (over 18 year old) classes currently can be paid on payg basis or per term.

(2)  If you're on payg, the fee is based on £13.00 per class.

(3)  If you're paying per term it is based at £10

(4)  Payg fee to be paid a minimum of 3 days in advance and for the upcoming classes only. If you don't attend, no pass over payments.

(5)  Teens (13 year old plus) may join the adult classes for training, with Sensei permission. However, classes can only be paid per term under 18 year old.


Payments & Refunds

Once payment has been made - we don't do refunds under any circumstances, (regardless of whether you have signed-up or filled in the necessary papers or not). By paying you agree that the payment is a volunteer payment which you (pay) at your own will and risk.

(2)  However, for regular classes if we cancel classes due to unforeseen circumstances we will do the following.

For the length of time that we are not providing the classes - we will add half of that fee on the up-coming term only. The other half will be used for expenses, so you can have a club (dojo) to return to.


New Students

New students can join us any time of the year. It doesn't matter if the term has started already. The weeks that have gone will be deducted and the payment will be calculated from their first lesson.

Trial Classes

New students may come and try our classes without having to sign-up for one week. By paying the (weekly based fee) like all other students and training the same. (Subject to availability)

(2)  Trial classes are not compulsory or that we have to offer. Students may sign-up for the term without trails classes.

Discounts

Family discount of up to 12% may be available for those in need.

Which may added after 6 months to a year of training without brake. Let us know and we will be happy to add it for you when the time comes.

(2)  Discount is limited to 2 students and is subject to chance or end at any time, with or without warning.


Communication

To avoid misunderstanding, communication between us about complaints or information should take place in the studio (dojo) face to face and not via WhatsApp, email or text messages.

(2)  You can contact us via text message for day to day info. However, we might not reply to your text for information that we have already communicated to you or is available on our official website at any time to view.


(3)  We (the club) because it's your interest, we might use all channels of communication available to inform you about the club (dojo). 

The Clubs

Clubs run separately from each other.

(2)  However, in general we allowed students to attend anywhere and any classes. Unless the classes are at full capacity or the payment is different.

License

All students must have a valid Karate License to participate. If it expires during training, it must be renewed in order to continue training. This is regardless of you having paid for the term.

(2)  License expires yearly and doesn't guarantee the student's place in case the dojos is at full capacity. (License allows the students to be part of the club, graduate, competition when classes are on).

(3)  It is not postponed or refundable even if classes or clubs are closed temporarily or forever. 

(4)  Currently the renewal fee is between £70 — £80.

Photography

As you may know, policing photography it is very difficult nowadays. Because of this, we think is best to allow photography in a responsible manner. We (the dojo) may take pics/videos during classes and any other events.  And allow (you) to do the same in the following manner.

Parents/Guardians & Students

•  Must get permission in advance. If permission is granted- a copy of media must be shared with us. And we will share it with who is in the frame.   

•  Must be respectful and responsible to not comment negatively on any media on social media, if shared. 


We The Dojo

Every pics/video we take will share it with all students in the frame. The media we share on our sites is for the following purposes only.

•  To inspire others (just like you) 

  To promote the club and karate in general 

•  For memory 
We will never do

  Use negative comments 

•  Use full name of the student 

  Force a student to pose for a picture/video 

  Use the media for a direct profit

In addition pictures and videos taken during a competition or elsewhere should never be used as evidence against the club. Or the club against you (students) to show how good or bad.

 

Grading Fees

•  10th – 1st kyu – 0 - £70 

 1st Dan – 0 - £201

•  Junior  1st Dan to 1st Dan senior - £70 

•  2nd Dan – 0 - £201

•  Junior 2nd Dan to 2nd Dan senior - £70

(Note that 1st and 2nd the fee is subject to no brake in training.

Otherwise full fee will apply.)


Time Off Training

Students who are off training for a period of time- on their return may not be able to start at the same level again.

-

1.  May have to redo their current level before moving up.

2.  Go down in grade.

3.  Go through garde's again.

Data

We don't share your data with anyone else except with our partners in relation to Karate / for registration of insurance, competition / black belt etc.  Note that we can't take responsibility if our partners miss use your (or our) data. But if found that there is a misuse we will take the necessary action.

(2)  If you don't attend the classes after you have signed up - as soon as yours or your/child's karate license expires - we will safely destroy your application form. 


(3)  If you don't attend for the term after we have sent you a couple of texts (etc) we may delete your contact details for private. On your return we will ask you for details again. 

   

Safety

Drop-off and Pick-up 

It's the parent's / guardian's responsibility for the safety of their child - before and after the official class times. 

- 

For example,

  to not leave their child alone until is accepted by the Sensei

•  to not be late for pick-up 

  to not be more than 5 min walk away from the dojo - in case they're needed   


Sickness

It's the parent's / guardian's responsibility to make sure the child is fit for training physically and mentally -- and to not attend if not fit or ill. 

-

For example,

•  have contracted covid-19 

  coughing 

  not feeling well generally 

•  not on the right mind set

  if anxious -- and so on 


Other Notes & Info

(1)  If there isn't enough space, whoever pays first for the term will be offered the place.  Classes are recognized, booked, only if you paid for the term. And not that we have agreed verbally. 

(2)  Failure to not pay on time for classes, license or any other payments – we reserve the right to stop the classes without any warning.

(3)  All classes are subject to finishing up-to 5min early to make space for other classes starting after us.

(4)  We don't sign-up anyone for specific days or classes. Unless some of the classes are full and between you and us agree to a specific temporary timetable.

(5)  For some students the timetable may be slightly different depending on their ability. Sensei will let you know if this is the case.

(6)  All students must fill in an application form with the up to date information in order to be allowed training. Which may be renewed every 3 years. 

(7)  All payments are non-transferable. To be used only for the original purpose.

(8)  Students are responsible to know when the new term starts, when their karate license expires and other related matters. 

Our responsibility is to make it available to you, which we do on this website all year round.

(9)  Clubs can close down, class timetables or locations can change suddenly due to unforeseen circumstances that are out of our control. 

--  However’ we as always will do our very best to inform you well in advance and honour our part. 


The attendee (new or existing) (guardian/parent) confirms the following:

 I am free of any medical, physical, mental or emotional disability and physically fit in every way to be able to participate.

I acknowledge that Karate is a competitive and combative sport and like all sports has a risk of physical injury;

I fully accept responsibility for all such risks as a condition of participation, wherever the class takes place.

 I give full permission to carry out First Aid Treatment in case of emergency as a very last resort.


Note that we may make changes to the policies from time to time. In this case, any changes will apply to the student immediately.

Policies apply regardless of the student having or not sighed the necessary papers.

By making a payment and/or attending our classes therefore you have read and fully agreed to comply with our policies.
